Privacy Policy

This policy explains what OiBooth (“we”) does with personal data when you use our website and the OiBooth software. It covers two different groups of people: the photobooth operators who buy the software, and the event guests whose photos it handles.

Who is responsible for what

For operator account data — your name, business details, billing information and support conversations — we are the data controller.

For event and guest data — photos, session videos and the galleries generated at your events — you are the controller and we act as your processor. You decide what is captured, how long it is kept and who may download it. We process it only to provide the service to you.

What we collect from operators

• Account details: name, email address, business name, and the password hash for your login.
• Enquiries: anything you send us through the demo request form or by email, including the hardware details you choose to share.
• Billing: handled by our payment provider. We store the plan, status and invoice records; we never see or store your full card number.
• Operational telemetry: each paired booth reports its camera, printer, app version, session count and pending uploads so you can see its health in your dashboard.

What the software handles at an event

• Photos and composites captured at the booth, uploaded to storage under your account.
• Session video, where you have enabled it for that event.
• Gallery access data: a short random session code, a view counter and a print count. We do not require a guest name, email address or login to view a gallery, and we do not ask for one.

Guest galleries are reachable by anyone holding the link or the printed QR code — that is the point of them. Set a retention period per event, and the link stops resolving when it expires.

How long we keep things

• Event media: for the retention window you set on each event, after which it is deleted automatically. Where you choose “never expire”, it stays until you delete it or close your account.
• Account records: for as long as you have an account, plus the period our tax and accounting obligations require.
• Enquiries: up to [24 months], so we can pick up a conversation you started.

Who else is involved

We use a small number of processors to run the service: cloud hosting and file storage, a managed database, a payment provider, and email delivery. Each is bound by a data processing agreement and may only act on our instructions. We do not sell personal data, and we do not use your event photos to train machine learning models.

Where data is stored

If you are an event guest and want your photos removed, contact the photobooth operator who ran your event — they control that data. If you cannot reach them, write to us and we will help you find the right contact.

Cookies

This marketing site sets no advertising or analytics cookies. The operator dashboard uses one essential cookie to keep you signed in. Guest galleries set no cookies at all.

Security

Passwords are hashed, transport is encrypted, booth uploads use short-lived tokens scoped to a single event, and each booth carries its own revocable device token rather than a shared login. No system is perfect; if we ever suffer a breach affecting your data we will tell you promptly and directly.

Changes

If we change this policy materially we will email account holders rather than quietly updating the date at the top.
